EXECUTIVE ASSISTANT & OFFICE MANAGER

We are looking for an organised and dynamic individual to join our team as an Executive Assistant & Office Manager. This individual will provide exceptional administrative support to our senior leaders' daily functions. The role will include the management of general office procedures to ensure processes and duties in the office flow efficiently.

You will be able to take the initiative in a fast-growing company, flexing to changing needs and establishing rules and process where none exist. You will also be confident in dealing with senior stakeholders and comfortable closely collaborating with sales teams.

Key responsibilities: 

  • Managing calendars, scheduling meetings, and the relationship with Travel Providers

  • Helping with calls and emails to ensure Senior Managers are able to optimise their time

  • Manage CRM systems; update and maintain contact database

  • Manage projects and follow-up with team members where required

  • Manage hiring pages and candidate filtering both through the our website and, where required, via third party recruiters.

  • Cordinating the smooth on-boarding and induction of new team members.

  • Plan and support with event planning and event logistics - some initiatives you will help organise include:

    • Team activities - company offsites

    • Organise PR activities 

    • Industry conferences (e.g. startup, venture capital, financial services, technology/partner shows etc.)

  • Manage the basic operation of our office by:

    • Managing service providers, purchasing office supplies, and coordinating on-site visits with guests

    • Receiving guests at reception and creating a warm and welcoming environment

  • Where required, coordinate or assume remote management of offices outside London to ensure a consistently high standard and allow senior staff to focus on the task at hand of growing Chargifi

Background + Attributes we're looking for: 

  • 1 year of experience working as an Executive Assistant supporting senior leaders with complex calendar management

  • Exception organisational skills and a strong ability to prioritise tasks and work on multiple projects at once

  • Excellent written and oral communication skills in English

  • Confident communicator and collaborator to the uppermost levels of Executive team

  • Project management skills with the ability to manage multiple projects and stakeholders simultaneously and deliver in full with a keen attention to detail

  • Must have high energy, passion and a positive can-do attitude

  • Ability to manage confidential material professionally with discretion and sensitivity when required
